Great marketing is a team effort. Kling makes it easy to invite colleagues, assign appropriate access levels, and collaborate on campaigns and flows. Here's everything you need to know about managing your team.
Understanding Roles
Kling uses a role-based permission system with three levels:
Admin
Full access to everything:
- Manage billing and subscription
- Add/remove team members
- Access all settings
- View/edit all campaigns and flows
Manager
Full marketing access:
- Create and edit campaigns
- Build and manage flows
- Access customer data
- Cannot manage billing or team
Staff
Limited operational access:
- View campaigns and analytics
- Access customer search
- Cannot create or edit content
- Ideal for support teams
Least Privilege
Assign the minimum role needed for each person's job. This protects your data and prevents accidental changes.
Adding Team Members
Navigate to Team Settings
Go to Settings > Team to see your current members and add new ones.
Send an Invitation
Click Invite Member and enter: - Email address - Role to assign - Optional: Personal message
Member Accepts
The invitee receives an email with a link to create their account and join your organization.
Invitation Expiration
Invitations expire after 7 days. Resend from the Team settings if needed.
Changing Member Roles
To update a team member's access:
- Go to Settings > Team
- Find the member in the list
- Click the role dropdown
- Select the new role
- Confirm the change
Changes take effect immediately. The member sees their new access on their next page load.
Downgrading Admins
You must have at least one Admin. You cannot downgrade yourself if you're the only Admin.
Removing Team Members
When someone leaves or no longer needs access:
- Navigate to Settings > Team
- Find the member to remove
- Click Remove (trash icon)
- Confirm removal
What Happens When You Remove Someone
- Immediate: Access revoked
- Content: Their created content remains
- Audit: Activity logs preserved
- Recovery: Can be re-invited anytime
Team Limits by Plan
Your plan determines how many team members you can have:

This transparency helps teams coordinate and troubleshoot.
Best Practices
For Small Teams (2-3 people)
- All Admins is often fine
- Trust and communication over rigid roles
- Everyone can cover for each other
For Medium Teams (4-10 people)
- One or two Admins for oversight
- Managers for marketing team
- Staff for support/operations
For Large Teams (10+)
- Limit Admins strictly
- Consider separate organizations for different brands
- Document role assignments

Organization Switching
Team members can belong to multiple organizations:
- Use the org switcher in the header
- Each org has separate permissions
- Great for agencies or multi-brand companies
Pending Invitations
Track outstanding invitations:
- Go to Settings > Team
- Click Pending tab
- See all sent invitations
- Resend or revoke as needed
Common Questions
Can members be in multiple organizations?
Yes. They use the org switcher to move between them.
Can I transfer ownership?
Yes. Make someone else Admin, then they can manage the organization.
What if someone loses access to their email?
Have an Admin remove their old account and send a new invite to their current email.
Do removed members count against my limit?
No. Only active members count toward your plan's team limit.
Security Recommendations
Protect your account with these practices:
- Enable 2FA: Require two-factor authentication for all team members
- Regular audits: Review team list quarterly
- Prompt removal: Remove access immediately when someone leaves
